I. Client Support and Communication:

Respond to Client Inquiries: Handle email, phone calls, and online messages from clients promptly and professionally. Gather information to understand client needs and concerns. Provide initial responses and direct inquiries to the Account Executive when necessary.

Maintain and Update Client Records: Manage client contact information, project documentation, and communication logs. Update client profiles and track interactions to ensure seamless continuity. Prepare reports and presentations summarizing client interactions and project progress.

Schedule Meetings and Manage Calendars: Coordinate client meetings, internal team meetings, and conference calls. Manage the Account Executive's calendar and ensure efficient time utilization. Send meeting reminders and agenda documents to all attendees.

II. Project Management and Support:

Assist with Proposal Development and Presentations: Gather data and research client needs to support proposal development. Create visual aids and presentation materials for client meetings. Proofread and edit proposals for clarity and accuracy.

Monitor Project Progress and Deliverables: Track project timelines, milestones, and deadlines. Liaise with internal teams to ensure timely delivery of project deliverables. Update the Account Executive and client on project progress regularly.

Prepare and Process Orders and Invoices: Enter client orders into the system accurately and efficiently. Generate and send invoices and manage payment follow-up. Reconcile client payments and maintain accurate billing records.

IV. Administrative and Organizational Tasks:

Manage Travel and Expense Reports: Book travel arrangements and prepare travel itineraries for the Account Executive. Process expense reports for travel, meals, and other client-related expenses. Ensure compliance with company travel and expense policies.

Organize and Attend Internal Meetings: Prepare meeting agendas and distribute materials to participants.
Take detailed minutes and action items during meetings. Follow up on action items and track progress after meetings.
